POV: NP School Says “Find Your Own Preceptor”

Download a ready-to-use outreach log, record each eligible contact and follow-up, and bring a clear status update to your clinical placement coordinator.

01

Check the school process first.

Ask your clinical placement coordinator for the current written site and preceptor criteria, required approvals, rotation objectives, and who owns each outreach step. Do not promise a site or clinician that a placement is approved before the program confirms it.

02

Build a shortlist that fits your rotation.

Record your NP track, patient population, rotation type, dates, state, and travel limits. For each potential site, note which requirement it may meet and what still needs school review.

03

Log the outreach, not just the yeses.

Download the CSV below and enter every site, contact method, date, response, follow-up date, next action, and owner. Use one row per contact. Mark a status such as not contacted, awaiting reply, discussing, declined, or school review.

04

Bring the log back to the coordinator.

If the search stalls, share the current log and ask which contacts the school will pursue, which you should follow up with, and when you will review the plan again. Keep patient details and other protected health information out of this log.

Open this CSV in Google Sheets or Excel. It has ten blank contact rows and fields for the site, clinician, school review, status, owner, and follow-up date. Do not enter patient information.

Use this before you choose.

Do not count a willing clinician as a confirmed placement. Keep the contact in school review until your program approves the site, preceptor, and rotation. If no eligible site is confirmed by your program’s stated checkpoint, send your outreach log to the coordinator and request an owned next step and review date.

Make the guide specific to you.

  1. What written site and preceptor criteria did your program give you?
  2. Which rotation dates, track, population, and state must a site fit?
  3. Which outreach steps belong to you and which belong to the program?
  4. Which contacts need a follow-up date or program review?
  5. When will you send the log to your coordinator and request the next decision?

Copy the message.

Hi [coordinator], I am seeking a [rotation type] placement for [track, dates, state]. I attached my outreach log with contacts, responses, and follow-up dates. Can you confirm which sites meet program criteria, which contacts the program will pursue, who owns my next step, and when we should review the plan again? Thank you.
